Board of Directors Meeting

April 17, 2009

 

President, Sam Briggs, called the meeting to order at 8:57 AM. Attendance was taken and a quorum of Directors was present.

 

Present:                   Sam Briggs, Paula Helfrich, Bill DeClaire, Ron Secord, Charleen Peake, Barbara Joseph, and General Manager, Marie Gallagher

 

Absent:                                                   Barry Yedlin, Jim Wood, Don Hovis

 

MOTION:             A motion was made and seconded to approve the minutes of the March 20, 2009 Board meeting. Motion was seconded and approved.

 

TREASURER’S REPORT – Paula Helfrich

 

After reviewing the current financial reports everything looks correct and in balance. Paula reports that as of March month-end we are 102% Income YTD over budget projections and 70% Expense YTD under budget projections and in a solid financial position to carry us through the rest of the year.

 

MOTION:             A motion was made and seconded to approve the Treasurer’s report of
April 16, 2009. Motion was approved.

 

GENERAL MANAGER’S REPORT – Marie Gallagher

Marie reports that, “We have a new employee, a very qualified bookkeeper”.

This was a tough month; financials took us “right down to the wire”. A little more work is needed on the financial reviews.

Marie reported on an accident at the entrance gate. Repairs were made and licensee at fault paid for the repairs.

Security guard, Judy, will be returning shortly for part time.

The security guard that demo’d the security cameras is no longer on the security staff at the Compound.

Lighting improvements still need more planning and work.

Camera work is progressing with plans to mount cameras behind the office building. The installation of additional cameras is being reviewed.

Perimeter curbing is progressing primarily in the back areas of the Compound.

New gravel work on interior roads is progressing. This summer, with many spaces empty, new gravel will be spread on parking spaces.

Seal coating is scheduled on several asphalt access roads. White the contractor is onsite repairs will also be made on the entrance road outside the front gate. Several potholes and a problem on the turn heading north will have complete repairs made and not just patches. The price difference will be $9,500 vs. $2,000 but the previous patching did not hold up.

$457,000 Annual Billing revenue with only one delinquent account.

 

Following the discussion last month on abuses of licensees not meeting the residency requirements, Marie drafted a letter to advise inquiring individuals why only residents of one of the three Sun Cities are eligible to use the Compound.

 

Random dog training at the Compound has begun with MCSD officers. Sign notices will be posted without specifying days or times.

 

NEW BUSINESS:

 

There was a general discussion on what can or should be done to encourage interest in and for the Compound’s Annual Meeting. The discussion included possible door prizes, speakers, travelogs, or more appealing meeting notices or announcements. No conclusions were agreed upon. This subject is to be discussed more in the months ahead.

 

The meeting was adjourned at 10 AM.
